The broad purpose of this role is to take ownership and coordinate the delivery of Human Resources administration support, within all areas of HR. This is a great role for someone who is looking to develop their career and gain exposure within an innovative organisation.
The Role:
- Provide comprehensive administration support to the HR team in all areas including Recruitment, Employee Relations and Learning & Development.
- Produce accurate correspondence to employees relating to all employee lifecycle events i.e. contractual changes.
- Act as the key contact with regards to the HR system queries and ensuring that the system is accurately maintained and updated.
- Own the new starter onboarding process and complete all required administration from offer stage to final actions ensuring a smooth and positive onboarding experience for all starters.
- Own the leaver offboarding process and complete all required administration including conducting exit interviews, where appropriate.
- Support managers and the HR team with recruitment activities, such as arranging and attending interviews, and liaising with recruitment agencies.
- Support managers and the HR team with low level ER matters and absence management.
- Provide first line advice to employees and managers on HR policy and procedures with support from the HR team.
- Support the visa application process to ensure those who require visas successfully obtain them.
- Organise and deliver training where necessary.
- Ensure the budget headcount spreadsheet is continuously up to date.
- Continuously review HR administration and other processes to ensure they are effective and efficient, making recommendations for improvement.
- Raise requisitions and ensure contractor and training invoices are paid promptly.
- Compile the necessary documents to be processed by payroll each month.
- Support the Company’s compliance with the Data Protection Act 2018, following policy and best practice.
Candidate Profile:
Essential:
- Demonstrable experience within a HR administration role.
- Good GCSEs (or equivalent) including Math’s and English.
- People skills - an easy manner and the ability to inspire confidence, as well as demonstrating trustworthiness and tactfulness.
- Communication skills – for dealing with colleagues and external clients.
- Admin skills - for dealing with sometimes complex paperwork and maintaining reliable records.
- Diligence - for understanding rules and regulations, adapting to new ones, and ensuring that procedures are followed accurately.
- IT skills - proficient in MS Word (mail merge, letters), Excel, PowerPoint. Excel is required beyond the basic level e.g., VLOOK UP.
- Ability to effectively use the HR system in place.
- Time management skills - delivers to agreed timescales.
- Attention to detail - seeks to remove the risk of error, wherever possible.
Desirable:
- CIPD qualification or working towards
